Job Description
- Allocate and manage facility space for maximum efficiency
- Manage facility central services (e.g. reception, security, cleaning, catering, utility, waste disposal, parking) and fixed assets (e.g. furniture, company cars)
- Provide prompt response to requests and issues from facility occupants
- Supervise maintenance and repair of facilities and equipment
- Conduct annual facilities inspections
- Coordinate office renovations, intra office moves
- Provide support to ensure the guest’s satisfactions
- Organize purchasing of office necessities and business essentials
- Obtain quotations from vendors, validate costs for goods and services to maximize cost effectiveness
- Negotiate purchasing terms and conditions with venders, and manage vendor relationships
- Develop and implement cost optimization and reduction initiatives
- Provide administrative support to procurement processes and functions including invoice processing and budget control
Requirements
- Strong administrative skills
- A few years’ experience in General Affairs preferable
- High levels of personal energy and drive
- An entrepreneurial ‘can do’ attitude facilitated by continuous learning and application of appropriate ‘best practices’
- Collaborative and positive attitude even in a fast paces and multi-tasking environment
- Ability to focus and follow through on priorities and deliver quality results
