Purpose
* Collaborate with stakeholders on the business needs for congresses, meetings and events
* Provide leadership and direction to agency
* Ensure all in-scope congresses, meetings and events are managed efficiently and effectively, through outsourced model
* Track and report on meetings and event spend
* Ensure compliance to all internal and external policies and procedures
* Ensure audit readiness (archive)
Key Activities & Responsibilities
* Partner with business partners on developing and executing program objectives (ROO)
* Drive the accountability of compliance with internal policies and procedures to ensure consistency, operational efficiencies and integration within audit requirements.
* Collaborate with business partners to identify areas for continuous organizational improvement
* Supplier Relationship Management (tracking of SLAs & KPIs) – single point of contact for issue escalation
* Budget Management, data integrity and validation of cost investments and savings
* Ensure agency(s) is developing and executing effective programs within scope, on time and within budget
* Ensure spend data is captured accurately in meeting management technology platform (Lanyon Super User)
* Ensure roles & responsibilities are clear when working with multiple agencies
* Ensure compliance to all policies and procedures by both the budget owners and all outside agencies
* Provide guidance and resolution to mitigate risk
* Manage hotel sourcing, contracting and negotiations (in partnership with agency)
* Key contact with medical associations ensuring adherence to applicable rules and regulations, as needed
* Monitor and report to management compliance to internal and external policies
* Provides expert guidance on best practices for meetings & events
* Provide guidance to supplier on hotel and travel escalation issues
