Job Description
Meet and collate all new joiners’ information and onboarding paperwork and work closely with the HR Shared Services (HRSSC) in Bangalore and background screening vendor to manage the new hire process
Manage start dates, paperwork follow-up and escalation of issues re. background screening and credit check.
Send new joiner notification to HRSSC, p-files creation, following up closely to ensure all essential documents are signed and received
Review HR records to ensure accurate position management, quality control of contract production by the HRSSC
Work with various internal departments such as the Technology, Finance and Admin teams to resolve any issue with new joiner’s access to internal applications
Complete the JSDA and JSCC checks & if required liaise with Compliance department on employee registration / licensing with regulators
Review background check reports and escalate major discrepancies / seek approval to close off minor discrepancies
Meet and greet new joiner and perform first day on boarding formalities
Organize new joiner induction program Life Events
Monitor contract end dates, with HRSSC and work closely with HRBPs for the renewal or termination of contracts
Execute and coordinate internal transfer process in conjunction with HRSSC, managers and third parties (ITEC, compliance, Security).
Initiate off boarding process for leavers
Conduct exit clearance with leavers, manage all associated paper work and queries
Attend to employee queries
Prepare and print standard and ad hoc letter requests from employees for HR Manager to sign off
P-file closure for archiving
Monitor HR mailbox and re-direct emails to the relevant parties
Draft employee communications
Perform quarterly audit check on the p-files of new joiners and leavers for completeness of on boarding / off boarding documents
Invoice management and processing
Assist in the preparation of the regulatory reports
Define and deliver KPI and dashboards in conjunction with HRSSC
Perform basic analytics on reporting, KPI and on their variations
Together with the Head of Services, propose and follow-up HRIS enhancement
Perform monthly permanent supervision
Assist with the administration for training sessions
In charge of the training setup held in the office
May be required to register staff for external training
Follow up of big data exercises, like ACR, NCC, Block Leave, eValuation, promotions, mid-year salary review, notifications and 360
Requirements
•Prior 2 to 5 years generalist work experience in a HR related role will be advantageous
•Must be able to communicate and write in fluent English & Japanese
•Must be able to work on simple data analysis in MS Excel and prepare presentations including graphs and organization charts in MS PowerPoint
•Should be familiar with MS Outlook for scheduling meetings and e-mail communication
•Good listening and summarizing skills
•Organized and diligent with a natural inclination for planning and follow through
•Must be a team player and able to work collaboratively with and through others in different locations
•Flexible and adaptable; able to work in ambiguous situations
•Education – Diploma or Bachelor’s degree preferred
